AYRE looks after conference production from the planning stage through to the final session. We design the technical system, liaise with the venue, prepare the room, support presenters and run the show on the day.
That can include sound, lighting, video, staging, set, confidence monitors, presentation playback, panel microphones, recording, streaming and multi-room support. Most of it is delivered by our own team and equipment stock, so there are fewer suppliers to manage and fewer places for things to get lost.
Conferences change. Speakers arrive late, slides appear five minutes before doors open and running orders move around. We plan for that rather than pretending it will not happen.

Staging & Set Design for Conferences
Staging is about sightlines first. We size the stage around the room, delegate layout, presenters and panel format, then build the set and screen positions around it.
For some events that means a clean branded backdrop and lectern. For others it means a wider stage, multiple screens, furniture, scenic elements and room for several speakers. We will recommend what fits the event rather than forcing the room around a standard package.
Presentation Management & Speaker Support
Presentations are often where conferences become unnecessarily stressful. We can collect, check and prepare slide decks before the event, manage late changes and run playback from a proper show system.
We can also support speakers with confidence monitors, timers, presenter view, remote contributors and rehearsals. The aim is simple: presenters know what they are doing and the audience sees the right thing at the right time.
Conference Print, Signage & Graphics
Conference programmes, room signs, wayfinding, stage graphics and sponsor branding all need to match the event and arrive before somebody starts asking where they are.
If you already have a print partner, we will work with them. If you do not, we can manage the print and graphics alongside the production and take it to site with the rest of the event.
Storage & Logistics for Conference Materials
We store event materials for clients at our Leeds warehouse, including banners, branded tablecloths, brochures, signage and reusable event graphics.
We can deliver them with the production equipment, install what is needed and bring everything back afterwards. It saves sending boxes around the country separately and keeps useful event stock ready for the next job.
